Under direction of the Head of Cataloging, the Acquisitions Coordinator ensures library patrons have access to library materials by coordinating the ordering, receiving, and database maintenance of materials and records in multiple formats, both print and online. The Acquisitions Coordinator communicates effectively with the Scholarly Communications Librarian and Course Reserves Supervisor to acquire requested materials and works with outside vendors to ensure that these materials are received in a timely manner. Working closely with the Scholarly Communications Librarian and the Library Director, the Acquisitions Coordinator is responsible for the day-to-day maintenance of the Library Materials budget.

Essential Functions:

  • Act as a liaison with faculty for the procurement of requested materials and delivery of electronic resources
  • Coordinate electronic resource access with vendors, link electronic resources to the library’s catalog, and publish resources to the discovery platform
  • Perform the ordering of physical and electronic materials for the library’s collection, including vendor selection, problem resolution, and vendor account administration
  • Receive ordered materials, ensuring physical condition and entry into the library’s LMS; notifying librarians of availability
  • Process and prepare payment for all library invoices, renewals, check requests, purchase card statements, oversee order receipts, and other transactions
  • Maintain accurate and complete records of all library financial contracts and transactions, including vendors, purchases, renewals, invoices, payments, purchase orders, and cancellations
  • Manage financial functions in LMS, including fund hierarchies, allocations and expenditures, and perform end of the year fiscal rollover in LMS
  • Create analytics reports that reflect live budget allocations and expenditures
  • Create and update acquisition workflows in order to ensure accuracy and transparency in the library’s purchasing
  • Process all physical and electronic renewals within the library’s LMS and ensure subscriptions are renewed on time
  • Collaborate with the Systems, Scholarly Communications, and Serials Librarians
  • Function as back-up supervisor for student assistants in Technical Services
Collection Maintenance
  • Load bibliographic records from external cataloging partners and ebook providers into Alma and OCLC as appropriate
  • Work in conjunction with Systems and Serials Librarians to maintain accurate electronic resource holdings
  • Perform copy cataloging for materials received through standing orders and for thelibrary’s NazFlix collection
  • Function as back up to the Head of Cataloging

Required Education, Experience, Technology Applications, and Skills:

  • Associate’s Degree plus two years of relevant work experience
  • Experience working with outside vendors
  • Ability to work independently with minimal supervision
  • Excellent organizational skills and attention to detail
  • Effective oral, written, and interpersonal communication skills
  • Evidence of a strong commitment to service
  • Experience with a variety of on-line search engines and strategies
  • Experience with word processing and Microsoft Excel spreadsheet applications

Preferred Education, Experience, Technology Applications, and Skills:

  • Experience with Accounts Payable practices
  • Experience with an automated library system, preferably Ex Libris Alma
  • Experience with OCLC
  • Supervisory experience
