Office Coordinator, Western New York Library Resources Council - Cheektowaga, NY

The Western New York Library Resources Council seeks a part-time team (17.5 hours) and service-oriented colleague for the Office Coordinator position reporting to the Executive Director and the HLSP Co-Coordinators.  This position requires a friendly, people-oriented person who is the frontline for the organization (office and email) to answer general questions.  Responsibilities include but not limited to:

General office management tasks: 

  • Manage incoming correspondence, mail, email, phone

  • Greet visitors 

  • Liaising with landlord and vendors for building maintenance, office functions, and office supplies 

  • Assisting staff with administrative tasks including regular reports to various administration and user communities 

  • Maintaining and filing general and HLSP office records 

HLSP tasks: 

  • Assisting with hospital book orders: placing, receiving, processing, tracking payments 

  • Monitoring hospital grant fund balances, sending updates and reminders for payment and balances 

Workshop tasks: 

  • Answering registration questions 

  • Managing set up and clean up for workshops, including ordering refreshments if requested 

Other tasks: 

  • Meetings: attending, taking minutes, transcribing minutes, and distribution of minutes 

  • Managing InfoPass and AcademicShare programs: yearly applications and monitoring returns 

  • Coordination of periodic mailings 

  • Webpage updates as requested 

 

Required Qualifications 

  • Ability to adapt quickly to changing environments  

  • Ability to work a flexible schedule 

  • Ability to work with minimal supervision in a team-oriented, collaborative environment 

  • Demonstrated interpersonal and customer-oriented communication skills (written and oral). 

  •  Ability to socialize with and engage constituents via virtual, email, phone, and in-person meetings 
  • Minimum 1-year experience in an office environment 

  • Microsoft Office including advanced knowledge in Word and Excel 

  • Ability to work from home when required 

  • Demonstrated ability to search the Internet proficiently

Preferred Qualifications

  • 2-year college degree 

 

Salary Range:  Commensurate upon experience.  Ability to join the NYS Retirement system. Pro-rated vacation, holiday, and sick time.
